We are responsible for deciding how your personal information is used (the “data controller”) under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Please read this policy together with our Cookie Policy.
The information we collect
When you contact us by phone or WhatsApp. Your name, your contact details and what you tell us in the conversation.
When you book through Treatwell. Treatwell shares with us the booking details we need to provide your appointment, such as your name, contact details, the treatment and the date and time.
When you come for a consultation or treatment. Your contact details, information about your health, skin and medical history, your treatment plan and notes about your treatment. These records are kept by the clinic, separately from the website.
Before-and-after photographs. With your consent, photographs may be taken to record your treatment. Client photographs are only shown on our website or elsewhere when the client has given consent for that use.
When you visit the website. Our web host keeps standard server records, which include your IP address, browser type and the pages requested, to keep the website running and secure. This website does not use analytics or advertising tools and does not collect enquiries through an online form.
Health information
Information about your health is “special category” data and needs extra protection. We use it only to assess whether a treatment is suitable and safe for you, to provide your treatment and to keep a record of it, and we rely on your explicit consent to do so.
Please do not send detailed medical information by WhatsApp or text message. A short description of your concern is enough; your medical history will be discussed with you in person at your consultation.
Why we use your information and our lawful basis
- Replying to you and arranging an appointment: steps you ask us to take before a contract (UK GDPR Article 6(1)(b)); for general questions, our legitimate interest in answering people who contact us (Article 6(1)(f)).
- Managing your bookings and providing your treatment: performance of a contract with you (Article 6(1)(b)).
- Health information and treatment records: your explicit consent (Article 9(2)(a)).
- Showing before-and-after photographs: your consent (Article 6(1)(a) and, where the photograph shows health information, Article 9(2)(a)).
- Keeping the website secure: our legitimate interest in protecting the website and its visitors (Article 6(1)(f)).
- Keeping financial and tax records: legal obligation (Article 6(1)(c)).
- Dealing with complaints or legal claims: our legitimate interest in handling complaints and defending claims (Article 6(1)(f)).
We do not sell your personal information. We will only send you marketing messages if you have agreed to receive them, and you can ask us to stop at any time. We do not make decisions about you by automated means.
Who we share your information with
We only share your information when it is needed for the purposes above:
- Hostinger, our web hosting provider, which stores the website on our behalf.
- Treatwell, if you book through it. Treatwell is a separate company and its own terms and privacy policy apply.
- WhatsApp (part of Meta), if you choose to contact us on WhatsApp. WhatsApp’s own terms and privacy policy apply.
- Public authorities, courts or regulators, where the law requires it.
Transfers outside the UK
Our website is hosted on servers in the European Economic Area, which UK law recognises as giving adequate protection. Some providers, such as Meta (WhatsApp), may process information in other countries. Where this happens, the safeguards required by UK law apply, such as UK adequacy regulations or approved contract terms.
How long we keep your information
We keep personal information only for as long as we need it for the purposes in this policy:
- conversations about an enquiry, for as long as needed to answer you and arrange your appointment;
- client and treatment records, for as long as needed to provide your care and to meet our legal, insurance and professional obligations;
- financial records, for as long as tax law requires;
- before-and-after photographs, until you withdraw your consent or we no longer need them;
- server records, for the limited period set by our web host for security purposes.
When information is no longer needed, it is deleted or destroyed securely.
Client photographs and withdrawing consent
You can withdraw your consent to the use of your photographs at any time, without giving a reason, by contacting us by phone or WhatsApp on 07897 523907, or by post to the clinic address above, or by telling us at the clinic. We will then stop using them and remove them from our website. Withdrawing consent does not affect any use made before you withdrew it.
How we protect your information
We limit access to your information to the people who need it and use providers with appropriate security. No method of storage or transmission is completely secure, but we take reasonable steps to protect your information.
Your rights
You have the right to:
- ask for a copy of your personal information;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it;
- object to our use of it where we rely on legitimate interests;
- ask for information you gave us to be transferred to you or another organisation, where this applies;
- withdraw your consent at any time, where we rely on consent.
Some rights have limits, for example when we must keep records by law. To use any of these rights, contact us by phone or WhatsApp on 07897 523907, or by post to the clinic address above. We may need to confirm your identity. We will reply within one month, and there is normally no charge.
Complaints
If you are unhappy with how we use your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
